Under the direction of the Business Office Manager, the Business Office Supervisor coordinates administrative and clerical functions for the Business Office of an Outpatient Diagnostic Imaging Facility, not requiring constant supervision of clerical detail. Supervises claims resolution procedures/personnel and Business Office support staff of an Outpatient Diagnostic Imaging Facility. Performs all office procedures with independent judgment, ingenuity and initiative. Assumes responsibility for associated duties as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assigns, directs, and coordinates the goals and productivity of the Claims Resolution staff to include payment posting, EDI processing, charge processing, A/R follow-up (denials, correspondence, appeals), refund processing, deposit processing, system maintenance, and work queue assignments.
Responsible to track and report on a daily basis to the Business Office Manager the staff productivity performance compared to published performance benchmarks.
Responsible to maintain billing system tables, files, and rules to ensure optimal performance of the billing system.
Establishes measureable productivity benchmarks for supervised staff.
Reviews contract-specific information to ensure charging complies with agreements.
Performs financial services procedures to allow evaluation and improvement of protocols and specific staff assignments.
Coordinates the research and resolution of incomplete or missing orders identified by the Coding Specialists and communicates deficiencies to the Marketing and/or Technical Department.
Monitors error rates from direct reports to provide feedback to staff.
Functions as resource to resolve financial services related issues for staff and outside inquiries.
Act as a liaison to and resource for Compliance Officer relative to Business Office processes.
Compiles supporting documentation and data for creation of ad-hoc and scheduled reports.
Creates reports, forms, informational communications and responses as requested or required and analyze and trend department reports
Develops and maintains processes by which RRC can effectively manage payment contracts to ensure optimal revenue capture in coordination with Business Office Manager and/or Revenue Manager.
Develops statistical “month end” and “upon request” reporting procedures.
Evaluates work procedures and standards and provides input to improve efficiency and effectiveness.
Develops and implements department standard operating procedures as applicable in coordination with the Business Office Manager.
Provides various statistical analyses in spreadsheet and graph form as requested or required.
Maintains open communication with Physicians and Management to facilitate development of relevant reports.
Maintains designated areas of RIS database within established guidelines.
Maintain confidentiality of all classified and sensitive information and records, including patient care and HIPAA information.
Attend and participate in seminars, in-service educational classes, staff meetings, and on-the-job training programs as required.
Conduct regular staff meetings.
Address performance and disciplinary issues in accordance with RRC company policy.
Receive and follow directives and instructions from the Radiologists, Senior Administration, Business Managers, and Supervisors to properly perform the position function.

Follows all established programs, policies, and practices to maintain regulatory compliance and reports any operational concerns to the Compliance Officer.

EDUCATION AND/OR EXPERIENCE:
Must possess, as a minimum, 5 years of recent medical office experience with at least 2 years in a supervisory role.
A minimum of an associate’s degree in business, or related field, is preferred.
Knowledge of basic accounting procedures.
Strong analytical skills to determine methods for evaluating data to achieve desired output.
Strong mathematical skills.
Familiarity with computer based billing & A/R systems
Must have experience in creating and maintaining statistical and management reports.
Intermediate knowledge of computer systems required.
Ability to perform within time constraints and to comply with productivity guidelines.
Consistently effective interpersonal skills to deal in a business-like, courteous, empathetic manner with patients who may be under physical and/or emotional stress, patient’s families, department staff, physicians, referral staff, and others.
