JOB SUMMARY: This position is responsible for all aspects of Baylor Scott and White Health?s (BSWH) records management program. The position ensures compliance with legal, regulatory and financial program requirements. This position is responsible for managing and directing the day to day operations of the records program staff. This position involves designing and implementing policies, procedures, budget planning, goal setting, and appropriate controls to ensure system wide record keeping compliance. Further, this position works with leadership throughout BSWH, and any joint ventures that utilize the program, to ensure engagement of records management program and retention/destruction requirements. WHAT IS EXPECTED (Essential Functions): - Responsible for leading, planning, and managing the system-wide records program and staff. - Responsible for compliance with record retention and destruction standards, including regulatory, legal state and federal statutes. - Serves in a consultative manner over the records management program and offers and provides education and training on records management best practices throughout system. Some travel is required in this role to provide such support and training. - Responsible for maintaining the master BSWH Record Retention Schedule. Works with Legal and Regulatory experts to update the Schedule to remain in compliance with retention and destruction requirements. - Develops and implements standardized and consistent records management policies and procedures for distribution, storage and destruction of records to meet legal, regulatory and business requirements. - Partners with Supply Chain Management and other departments to ensure third party contracts are negotiated and managed in compliance with BSWH records management requirements/specifications and BSWH standards. - Develops effective business relationships with legal, BSWH operational leaders, information security and technology teams and third party vendors. Leverage those relationships to maintain and lead the BSWH records management program. - Implement records management tracking system and continuously improves quality and service within records management program. - Provide regular reporting to senior management and governance committees (as required) on the state of the records management program and key activities. - Manages and develops records management staff, departmental budget and makes capital project recommendations. - Performs other position appropriate duties as required in a competent, professional and courteous manner. KNOWLEDGE, SKILLS, and ABILITIES: - Registered Health Information Technologist (RHIT) preferred. - Registered Health Information Administrator (RHIA) preferred. - Association of Records Manager or America, optional. - 7+ years management preferred. - 5-7 years record management. - Degree in Library & Information Science, Information Technology or Health Management (HIM) preferred.
