We are seeking a Medical Secretary in our Sports Medicine Division located in Durham and Wake Counties responsible for coordinating all peri-operative activities related to scheduling patients for surgery. Responsible for performing a variety of duties both in the clinical and administrative areas including assisting physicians with patient care and handling clerical, environmental, and organizational tasks.
JOB DUTIES AND RESPONSIBILITIES
Review surgical postings received for accuracy of information in medical chart- right patient, right side, right procedure and accurate diagnosis prior to posting the case in Epic. Review any discrepancies or omitted data with providers.
Schedule and verify surgery date and related information such as medical clearance, hospitalist appointments and pre-op appointments with the patient verbally and then send confirming information in writing documenting in Epic.
Respond timely to patient inquiries for information related to the surgery during the peri-operative period to keep patients informed and relaxed.
Record all surgical cases on Outlook calendars so providers and staff can accurately see what time is available.
Obtain authorization from insurance companies for all surgical procedures that require authorization.
Obtain complete information on incoming calls regarding surgical coordination.
Retrieve voicemails within 24 hours and route accordingly.
Print/route letters and clinic notes.
Process schedule change forms.
Assist with patient scheduling and rescheduling as needed.
Send referrals t outside facilities for labs, studies, tests, ancillary care, as directed by physician.
Inbasket and e-mail messaging with response time within 24 hours and complete any non-urgent requests within reasonable safe timeframe for patient care coordination.
Submit billing sheets to the physicians daily to code their surgeries.
Apply knowledge and skills to resolve simple and complex administrative problems in conjunction with the division administrator and health center administrator.
Plan and schedule work ensuring proper communication to effectively meet the needs of day to day operation.
Attend monthly division staff meetings and record minutes.
Responsible for ordering office supplies and tracking related expenses.
Coordination of departmental personnel activities including travel itineraries for faculty, parking passes, and related reimbursements.
Perform other related duties as assigned by division chief and administrator in support of clinical faculty.
JOB ELIGIBILITY REQUIREMENTS
Work requires a general educational background normally equivalent to a high school education.
Work requires two years of related medical clerical experience sufficient to acquire skills in transcribing medical terminology, office organization and communications.
A completed medical secretarial program (nine months up to two years accredited program) may be substituted for equivalent experience.
JOB HOURS
The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
